Context
Craftwork OS is the internal ERP that runs all of Craftwork's operations. Project management is the core of it. Every operator starts and ends their day here.
Challenge
The team was running jobs through spreadsheets and group texts. Information lived in too many places, so jobs slipped, materials showed up late, and operators burned time chasing updates instead of managing work. The business was growing faster than the systems supporting it.
Decisions
- Started with operator research, watching the actual workday and finding the points where context-switching cost real time and where information lived that should have lived in the system.
- Structured views around the operator's workday rather than the database schema. Jobs, assignments, and materials surface in the order people need them.
- Built progressive disclosure into project detail pages so operators see the summary first and drill into scope, materials, or customer history only when they need it.
- Designed an AI Smart Summary at the top of every project that synthesizes labor data, schedule, and the customer message thread into one paragraph the operator can act on in seconds.
- Shipped daily to the operations team, adjusting layouts based on what slowed them down in real use.
Result
15 to 20 operators run their day on it across three markets, coordinating 50 to 70 crew members and 30 to 40 projects a week. Jobs, assignments, materials, and customer timelines live in one place. Operators stopped context-switching between tools and started managing work instead of routing information.
